Privacy Policy
How we handle information from our website, text messages and Quick Order extension
MERCER FUELS LIMITED - PRIVACY POLICY
Last updated: October 16, 2026
1. Overview
Mercer Fuels Limited collects information you submit through this website and some technical and usage information about how the website is used. We use this information to respond to requests, provide and manage our services, run the website, and understand how visitors use it.
This policy describes the website practices we have verified and the optional Mercer Fuels Quick Order Chrome extension. The extension helps you save selected order details, reuse them in our existing online order form, and set a Next Order Reminder. You review and submit every order yourself. This policy does not describe every practice of an independent service when you leave our website or use a service hosted by that provider.
If you have questions about this policy or your information, please contact us using the details in section 8.
2. Information We Collect
Information submitted through Mercer Fuels forms
When you use a form hosted by Mercer Fuels, we collect the information needed for the request. Depending on the form, this can include your name, email address, phone number, address, account or delivery details, requested service, order details, budget or heating-cost information, and any message or other information you choose to provide. If you use Mercer Fuels Quick Order and agree to save your details, the extension saves the selected name, delivery address, phone number, email address, order type, applicable dollar amount and delivery instructions in your Chrome profile. At the first save, you choose whether to include delivery and payment-method preferences. The extension remembers that choice.
Credit application information
A credit application may ask for contact, address, employment, income, housing, and consent information so our team can review the application. Date of birth and social insurance number fields are handled differently: the website intentionally does not save those fields in its application database.
JotForm-hosted forms
Some forms, including online order and bill payment forms, are hosted by JotForm. Information entered into those form fields is submitted to JotForm, not to a Mercer Fuels form field on this website.
The categories of information depend on the form, and can include contact, service, order, referral, or payment information. Please review the information presented with the form before submitting it. For text messaging, Mercer Fuels provides names, phone numbers and email addresses through the ClickSend API and Zapier. Signup submissions are recorded through JotForm or a Mercer Fuels custom form. Our customer information is held in ClickSend, JotForm and Google Sheets. Mercer Fuels keeps customer information indefinitely unless a customer asks us to delete it. You can contact us to request deletion. We will request removal of your information from ClickSend when needed; ClickSend removal takes up to 120 days. ClickSend has separate retention rules for message history and backups. This is not a promise that every archived or backup copy is immediately erased. A number that has opted out must not be added back through a later import.
Technical and usage information
We collect some technical and usage information from the website. This includes your website tracking choices stored in your browser and, when you allow analytics, page addresses, page titles, button clicks, form activity, phone or email link clicks, campaign parameters, and related device or browser visit information. If you accept the revised combined analytics and advertising notice, Meta Pixel receives PageView events for eligible public pages. These use a fixed public page address without query strings or fragments, and do not include form values, private page addresses or a referring page address. Meta also receives technical request information, such as your IP address and browser information, and may receive or set Meta cookies where your browser permits.
When your browser requests this website or an embedded feature, the website or that feature provider may also receive ordinary technical request data such as an IP address, browser or device information, requested resource, and referrer information. The Quick Order extension also stores reminder dates, notification-delivery and permission-prompt status, generic reminder-error status, and temporary tab identifiers and expiry times needed to fill a requested form once. This extension information is stored locally, is not synced across devices and is not sent to a separate extension-operated server or Mercer Fuels database.
3. Why We Use Information
We use submitted information to respond to you, arrange requested services, process and manage orders or applications, and communicate about the request you made. Mercer Fuels text messages include periodic weather warnings, Check Tank Reminders during winter, annual furnace cleaning reminders, a one-time Refer A Friend reminder, and infrequent periodic offers. A welcome text is sent within one week of submitting the signup form and offers an opportunity to unsubscribe. Reply STOP to immediately block all Mercer Fuels text messages, including reminders and offers. We monitor incoming texts; you can reply to a message for help. Incorrect phone numbers are corrected manually. These texts are separate from Quick Order Chrome notifications. Accepting general website terms or receiving a welcome text with an unsubscribe option does not by itself establish explicit consent to promotional text messages.
We use technical and usage information to operate the website, understand which pages and features are useful, diagnose website issues, and improve the visitor experience. With your consent to the revised analytics and advertising notice, Meta Pixel PageViews help measure visits associated with our advertising. This installation does not send lead, purchase, signup or other conversion events to Meta. Meta may combine the data it receives with other information to measure, personalize and deliver ads and improve its products.
We use operational records to run our internal processes. We may also display public reviews that we obtain from external review platforms. Quick Order uses its saved information only to provide the requested form-filling and reminder features. The extension does not sell data, use it for advertising, assess creditworthiness or use it for lending. When you first save a reminder, the extension requests notification permission. If permitted, it can show a generic reminder around 9 AM on your chosen date or when this Chrome profile next opens. Chrome must be running, and Chrome and device settings can prevent alerts. Notifications do not contain your saved contact, address or payment information. Clicking a reminder opens the order form without filling or submitting it. A reminder does not guarantee delivery or prevent running out of oil.
4. Third-Party Services and Information Sharing
We use the services below to support the website and our operations. A service may receive information directly from your browser when its content loads, receive information you submit through a form, or receive operational information from Mercer Fuels. When you request Quick Order prefilling, the saved details placed into the JotForm form become accessible to JotForm and the form's scripts, even before you submit. The extension does not control the provider's processing or retention. Its local-storage description applies to the extension's saved copy, not to information entered into or submitted through the online form.
Google Analytics
Google Analytics measures website use only after you accept analytics cookies. When enabled, it receives analytics events such as page views, page details, clicks, form activity, and campaign information so we can understand website use. We also use Google Tag Manager after you accept the updated notice. It loads once per document on selected public pages in an isolated frame with all user-created container tags paused. Google receives your IP address and browser request information to deliver the container. The frame does not receive your page address, referring page address, form values or customer identifiers. Generated click listeners run only inside the frame. This container does not add analytics events, advertising events or call tracking. Earlier Google Analytics or Meta acceptance does not authorize Tag Manager. Meta Pixel is a separate service operated by Meta. It loads only after you accept our revised analytics and advertising notice. We isolate it from the website's forms and staff tools, disable automatic event configuration and do not provide advanced matching information. Meta may also perform measurement on your device where its enabled features support it. Meta's published Privacy Policy describes sharing with Meta companies and service providers and global processing, including in the United States. Its published Business Tools Terms permit retention of Event Data for up to two years and retention of audiences until deleted through account tools. This is not a promise that all Meta records or cookies are deleted after two years. Meta's processing and retention are subject to its own policies and applicable agreements. You can use Meta's privacy and ad settings to manage choices within its services. Declining or withdrawing this website's consent stops future tracking by this installation; it does not recall data already sent or promise deletion of Meta cookies or records.
Google Fonts
Google Fonts supplies the typeface used on the website. When the font files load, your browser makes requests to Google that may include ordinary technical request data.
YouTube
YouTube provides embedded videos on our automatic delivery, furnace insurance, and equal monthly payment pages. Loading or playing these videos sends browser requests to YouTube and may involve the technical data associated with those requests.
JotForm
JotForm hosts selected customer, service, order, and payment forms. JotForm receives the information entered into its hosted form fields and the technical request data needed to display those forms. Mercer Fuels uses ClickSend to send text messages, with information passed through its API and Zapier. ClickSend processes contact information and message-related information to provide its services. Its published disclosures describe processing outside Canada, including cloud storage in Australia, monitoring in North America, and service and support operations in other regions. ClickSend uses other service providers and Sinch group companies. Its published message-history guidance describes four months of comprehensive history and access to archived data for up to two years; this does not mean all customer information is retained for the same period.
Zapier
Zapier sends certain Mercer Fuels form submissions to our operational workflows. Depending on the request, this can include contact information, address, requested service, form details, and submission time.
Neon and Replit
Neon provides the database used by the website for Mercer Fuels records, such as submitted form and application information. Replit supports the application environment used to run and maintain this website. These services may process information handled by the website as part of those roles.
Google Drive and Google Sheets
Mercer Fuels staff use Google Drive and Google Sheets for operational spreadsheet work. When staff upload or process operational spreadsheets through our staff tools, spreadsheet files and their contents may be read from Google Drive and written to Google Sheets.
Google Places and Facebook review syncing
We may obtain public review data from Google Places and Facebook to manage or display reviews. This can include the reviewer's displayed name, review text or recommendation, rating, and publication time. This is review information made available through those platforms, not information submitted through a Mercer Fuels website form.
Remote website asset host
We use headless.cbisland.com to supply some website images. When an image from that host loads, your browser sends the ordinary technical request data needed to retrieve it.
5. Cookies, Analytics and Advertising
We ask for your permission before enabling Google Analytics, Meta advertising measurement and the isolated Google Tag Manager container. Accept enables these services as described above; Tag Manager loads only on its selected public pages. Decline keeps them off. An earlier Google Analytics-only acceptance does not authorize Meta, and an earlier Google Analytics or Meta acceptance does not authorize Tag Manager. Existing valid Google Analytics and Meta choices remain in effect while we ask you to review the updated notice. An earlier decline remains a decline. Meta sends only the current eligible page after acceptance and later eligible page visits, not earlier unconsented visits. Existing Google Analytics event handling is unchanged. Meta tracking is excluded from order, payment, credit application, account setup, staff and confirmation pages. Other unknown or non-allowlisted pages are also excluded.
Declining analytics does not stop every third-party request. Independently loaded features, such as JotForm forms, YouTube video, Google Fonts, and images from our remote asset host, can still receive browser request data when they load.
Your choices are saved in your browser. Advertising consent and Tag Manager consent are saved separately with their respective notice versions. If browser storage is unavailable, a new advertising or Tag Manager choice applies only to the current document. You can withdraw consent and reopen the notice at any time with the button below. This stops future tracking by this installation and clears its saved choices; it does not delete information already held by a provider. Stopping Tag Manager destroys its frame, including its timers and listeners. Requests already transmitted cannot be recalled. Tag Manager does not restart in the same document after stopping; a new page load and applicable acceptance are required. Clearing this website's browser data will also reset the choices. Quick Order's local extension storage, save consent and notification permission are separate from this website's cookie choice. Changing the website cookie choice does not delete extension settings or change notification permission. The extension does not add analytics, advertising tracking or browsing-history collection.
6. Protecting Information
Access to Mercer Fuels records in the website's staff tools is limited to authorized administrators. We use the services described above to store and process information needed to operate the website and respond to requests.
Please do not include information in a website form unless that form asks for it. For payment and other sensitive requests, use the designated form or contact Mercer Fuels directly if you have questions. Quick Order does not capture or restore card numbers, expiry dates, security codes, cardholder or payment-widget data, payment tokens, verification challenges, signatures or legal-consent fields. It excludes hidden and calculated form values. Delivery instructions are saved as entered, so do not put sensitive information, such as card details, door codes or alarm codes, in them. Use a private Chrome profile you control, not a shared or public computer.
7. Access, Corrections, and Policy Updates
You may contact us to ask about the personal information you have submitted to Mercer Fuels or to request a correction. We may need information from you to locate the relevant record and respond to the request. You can inspect saved Quick Order details in the extension, replace them from the order form with your consent, or select Delete saved details and reminder to clear the extension's local saved information and cancel its reminder. Saved details remain in the Chrome profile until replaced or deleted. Cancelling only a reminder leaves saved order details in place. Deleting extension data does not erase information already filled into an open form or records held by Mercer Fuels or the form provider. Close filled forms if you no longer want their visible copies open.
We may update this policy when our website or Quick Order extension practices change. The date at the top of this page shows when it was last updated.
